Proposal Development Workspace
Help page for RAMSeS
This help page is designed to assist users of the Proposal Development Workspace tool within RAMSeS. This tool is intended to enhance collaboration by providing a centralized location for investigators and other members of the research team to share documents being developed for a proposal submission such as the science sections and key personnel biosketches. IMPORTANT: The use of the Development Workspace is voluntary; you are not required to use the workspace in order to submit an IPF. To use the space, you must either create a new proposal in RAMSeS or work with an unsubmitted proposal.

Create a Development Workspace
To create a Development Workspace, you will first need to initiate an eIPF in RAMSeS for the proposal you will be submitting. Follow these steps:
- Log on to RAMSeS with your ONYEN or SOM User ID
- From the Proposal Dashboard select the link on Start New Proposal and complete the required information on the screen and click Save
- From the Item list, select the tab Investigators/Research Team and enter the members of the research team.
- Select the tab Proposal Development Workspace located at the bottom left-hand corner of the screen
- From the Proposal Management screen, select the icon Create Workspace and in the pop-up window select the tab Create Workspace
- You have now accessed the Proposal Development Workspace where you and others named on the research team can upload documents to be shared on a secure web site
Access a Development Workspace
Once you have initiated the IPF and workspace you and the research team access the secured space by following these steps:
- Log on to RAMSeS with your ONYEN or SOM User ID
- From the Proposal Dashboard select the link on My Proposals (if you were the person who created the IPF) or the link Proposals Affiliated With (if you were named on the research team)
- From the My Proposals or Proposals Affiliated With screen, select the icon Development Workspace for the associated proposal
- From the Proposal Management screen, select the icon Open Workspace
- You have now accessed the Proposal Development Workspace where you and others named on the research team can upload documents to be shared on a secure web site
Utilize the Development Workspace
Features within the Proposal Development Workspace
- New
- Upload any document type for sharing and add a description to indicate what the document contains
- Enter URLs for easy reference
- Create Folders for organizing documents
- Edit
- Documents can be Deleted, Cut or Copied and then Pasted to different folders
- Individuals on the research team can Check Out a document so that it is not available for other to edit
- Tools
- By selecting Send To the document can be emailed to individuals who do not have access to the workspace
- View
- Details descriptions of a document are listed in this view
- Comments may be added to a document to point something out or pose a question to other members of the Research Team about a document. They may also be used to show they have reviewed the document. Comments may not be deleted or changed by anyone. To see comments select "Comments" or "Details" under View. To add a new comment to a document select the right-most icon under the Action column next to the document. Note: The system will NOT identify who added the comment, so you should identify yourself within the note.
- View comments posted by the research team for each document
- Versions each time a document is saved, a version is created, selecting this view allows access to previous versions of the document
- Open Web Folder
Located in the upper left-hand corner of the Proposal Development workspace is the link Open Web Folder. Use this link to access documents that you want to view, edit and save to the workspace. IMPORTANT: Files that are accessed through the 'Open Web Folder' screen are NOT saved to the shared web space.
- Features within the Proposal Management screen of RAMSeS
- The Open Workspace icon allows you to open the workspace to add or access documents for editing
- The Finalize Workspace icon allows the research team to submit documents prepared in the workspace to OSR or SPO for final proposal submission. This feature may be useful when preparing to submit the final electronic application package to Grants.gov. The electronic package can be uploaded into the workspace and by selecting 'Finalize Workspace' the file is sent to the appropriate Administrative Office for Institutional review, approval and submission.
- Any documents that have been added to the workspace are listed and can be viewed without opening up the workspace
- Workspace Folders provides a key of the different stages of workspace development
- Status History identifies individuals who have accessed and performed actions within the workspace
