NOTR in RAMSeS (implemented June 5, 2008)
A Notice of Termination Reply (NOTR) is required for close-out, even if there are no outstanding charges on a sponsored research account.
For questions about the NOTR function in RAMSeS or to provide suggestions on ways to improve this or any other RAMSeS process, please let us know via Ask OSR.
Technical assistance with Research Contacts and other RAMSeS-related applications is available during office hours through the Help Line in the Office of Research Information Systems (ORIS) at 843-2594.
NOTR Electronic Submission Process:
- The Research Account Manager (view definition) for the administrative department is sent an automated notification by e-mail seven (7) business days prior to the budget-end date of the account (aka, the termination date). The lead Principal Investigator is copied automatically.
- The department person responsible for that account will complete the NOTR form in Excel and submit it in RAMSeS. Unlike University financial applications that require specific approval for account access, RAMSeS is accessible to anyone with an ONYEN or SOMID. Thus, nearly every employee of UNC-CH has the capability to submit an NOTR through RAMSeS.
- Once completed, the NOTR is submitted electronically, pending the lead PI's certification. This pending NOTR is listed under the "Submitted" tab under the "Notice of Termination" section in RAMSeS. The lead PI receives notification that the NOTR awaits his/her certification in RAMSeS.
- The Lead PI reviews and either certifies or rejects the NOTR.
- Once certified, OSR personnel continue to update FRS and may contact the individual who submitted the NOTR with questions.
- The NOTR is placed under the "Completed" tab once the award account has been reconciled and closed.

- Awards in My Dept - allows individuals who have been assigned "Award Data Access" in Research Contacts to view details of the award account.
- Active and Inactive award tabs are based on the project end date and allow you to sort awards by award number, title, lead PI, sponsor, award amount, budget begin date, and prime account number.
- When you find the award or prime account you are looking for, click the link under the far left column, "Award No."
